Event management
This guide brings together best practices for managing events effectively in Technis.
Event setup
Choose your setup based on how your events are organized:
- Different venue per event: Create a new Site for each event, keeping your data separate and making it easy to reference it in reports.
- Same venue, with same or similar layout: Use Duplicate site feature to reuse an existing site structure and devices, saving setup time. After duplicating a site, unlink unused devices.
Once your event is created, for accurate reporting, configure your event's schedule in Site settings:
- Reset of day time: if your event starts at 21:00 and ends at 02:00, use 21:00 as the reset day time. This will ensure all the charts start at 21:00 and all counts will be set to 0 at this time, excluding noise data such as on-site staff.
- Opening hours: if your event has different schedule each day, use the opening hours improve further the accuracy of the report by setting different hours for each day.
Event security and flow control
Use these features together for safer and smoother event operations:
-
Start from the Occupancy dashboard and configure limits for critical zones (entrances, main halls, and high-density corridors). During events, this dashboard is the source of truth for current inside counts, occupancy percentage, and historical verification.
- At physical entry points, deploy Stop&Go displays linked to the same zone limits. This ensures that on-site signage follows live occupancy status automatically and reduces manual intervention by staff.
- Configure alerts for threshold breaches so supervisors are notified immediately when occupancy approaches or exceeds limits. Alerts should route to the operational channel used by security leads to reduce reaction time.
- Display a custom report in the control room. Keep this dashboard focused on operational metrics only, so decisions can be made quickly under pressure.
Best practices
-
Create one site per event when events move across locations, or they happen once a year.
- Use Duplicate site for recurring events in the same venue.
- Adjust Rest time of day and Opening hours before the event starts.
- Define occupancy limits for critical zones in advance.
- Combine Occupancy dashboard, Stop&Go, and alerts for proactive crowd control.
- Share live dashboards with on-site teams to speed up decision-making.
